Program Coordinator, Learn-to-play & Recreational Programs
Position Reports to: Operations Director
Term : Part-time
Salary: 25$/hour - Under review, dependent on experience
About us:
The Maverick Volleyball Club serves Ottawa and its surrounding communities in providing our youth with high-quality volleyball programs. Our Club takes pride in our successful track record of promoting and fostering leadership, organizational, team, and life skills for the benefit of its members.
Role Overview:
The LTP Program Coordinator is responsible for coordinating all resources required to successfully deliver our Learn-to-Play programs throughout the year. They provide the administrative support needed for the LTP Program Design Manager to implement their program vision.
Key Responsibilities:
1. Registration and customer service
- Setup registrations for all LTP & Rec programs in Amilia (or equivalent)
- Manage the registration system – become the SuperUser
- Manage and resolve customer inquiries
- Provide support to other users including clients
- Manage communication of 911s with clients and staff
- Ensure stakeholders receive program information as required
- Be available on Sunday mornings during blocks 1 through 4 (paid for a 3-hour minimum) to provide any required stakeholder support
2. Coach Management
- Determine Coaching needs for LTP programs
- Monitor and facilitate coach onboarding in the HRIS
- Communicate expectations with coaches
- Coordinate the LTP coaching schedule in conjunction with the Technical Committee
- Upload the staffing schedule in Amilia
- Communicate through Slack to manage week-week coaching needs/issues
- Ensure coach attendance and that any absences are managed
- Monitor coach performance, assign development requirements to Technical Lead
- Lead the termination of employees when employment conditions aren’t met
- Liaise with the Talent Acquisition Officer on filling the coaching slate, on a continual basis.
3. Facilities
- Coordinate with Facility Manager for gym locations and times.
- Communicate in-season changes and update schedule
4. Meetings
- Attend scheduled department and company meetings as required
5. Equipment
- Determine all LTP equipment needs and coordinate with the Equipment Manager
- Request, in a timely manner, additional equipment as necessary from the Equipment Manager
- Determine T-shirt and Promotion prizing needs and coordinate with the Marketing/branding Department
- Ensure all programs receive material in a timely manner
6. Website & Social Media
- Provide Website/Branding departments LTP program information for maverickvolleyball.ca and applicable social media pages
- Ensure timely updates in both official languages where applicable
7. Client Satisfaction
- Send out the Surveys for admin, coaching and overall performance for each program. Record Net Promotor Scores and provide management updates

Preferred Education and Experience:
- High school diploma
- Sports business management program (asset)
- Bilingual, English & French (asset)

Compensation
